This guide for the Safe to Play Inspector application shows how to instal it, how to navigate in it, how to use it as an aid to the inspection and how to generate an inspection report.

Installation

iPad or iPhone
Instal Safe to Play Inspector app from App Store.

Android tablet or phone
Instal Safe to Play Inspector app from Google Play.

The application opens first the login page.

Note The Inspector application is logged in with the same credentials as the Safe to Play Encyclopedia and the S2P certified personal profile

A new user account can be created by selecting “Create user account”, which opens a web browser at user.s2p.fi.

Create a user account by choosing a username that suits you, entering your e-mail address and choosing a password.

After creating a username, the web browser opens your S2P profile page.

Enter your name in “Edit your Information”. The name you enter here will appear in the inspection report.

After creating a profile, return to the Inspector application and log in.

At the first log in, the new user will be granted one area memory slot (Areas quota) for 30 days.

Normal use of the Inspector application requires either the implementation of the Safe to Play Management system or the purchase of personal memory slots from the S2P store.

Main menu

The main menu is opened from the “Tasks” or “Areas” view’s upper right corner.

  • At the top, you can see your username and the number of private area memory slots. The arrow in the upper right corner is a link to the user profile on the user.s2p.fi site.
  • “Inspection history” opens a view with all performed inspections.
  • “User guide” is a link to this user manual on the s2p.fi website.
  • “Management” is a link to the Safe to Play Management system on the ins.s2p.fi website.
  • In the “Language” menu, you can select the language for the Inspector application.
  • “Reload” will update all data temporarily stored in the mobile device’s memory.
  • “Logout” logs the user out, requiring re-login.
  • “About” opens a window with e.g. Inspector application version and a link to the up-to-date terms of use accepted by the user.

“Tasks” view

The tasks view shows the inspections in progress and the tasks assigned to you via Safe to Play Management.

Click on the task and its details will open.

  • If the task is an inspection, the inspection is started and the inspection instruction view opens.
  • If the task is a repair, the repair instruction view opens, where the repair is also reported as done.

“Areas” view

The “Areas” view can be viewed either as a map or as a list of areas. You can switch between them using the button in the upper right corner.

All areas, whose data the user has rights to, are shown in the map view and in the area list.

  • The private area is shown as a red icon on the map and there is a person icon in front of the name.
  • The company area is shown as a purple icon on the map and the name has a factory icon in front of it.

Basic data

Creating areas

A new area is created either by holding on the map or by tapping the icon in the lower right corner.

In the window that opens, enter the area information. The information and location can be edited later.

“Area” view -> “Overview” tab

Area’s overview shows the area’s information (A).

  • Edit the information by tapping the pen icon.
  • Tapping on the photo opens a view where new pictures can be added and existing pictures can be edited or deleted.

Objects section shows all objects created in the area.

  • Open objects info by tapping on its picture.

Note The latest picture is shown on the cover of the regional report. If there are several area photos, take the most impressive area photo last.

Deleting the area is done through the menu in the upper right corner.

“Area” view -> “Repair needs” tab

This view shows all area’s repair needs in their statuses.

Note For Inspector user the repair need can be either in the status ‘Created or reassessed’ or ‘Repaired’. Management users have all statuses enabled.

In this view, a repair need can be recorded at any time; even without an ongoing inspection. All repair needs in status ‘Created or reassessed’ will be shown in the area report; not just those that were recorded during a specific inspection.

Opens the defect details, allowing you to add images, add log entries, and mark the defect as fixed.

Creating objects

Creating objects to be inspected for the area

  • Each piece of play, sports, ancillary, etc. equipment is one object.
  • Fence and gate could be considered as only one object.
  • Safe to Play Management users should make safety areas as own objects. However, when Inspector is used alone, the safety area feature can be given for each equipment.
  • If there are several identical pieces of furniture in the area, they can be defined as one object with a description such as ‘Bench x 5’

in “Area” view, täp on “Add Object”. The “Object information” view will open.

Defining object information

Enter the information and save.

  • The only required information is the name of the object.
  • If the installation year is not known, estimate it the best you can and check the box “Installation year is estimated”.
  • The manufacturer’s name and type number should only be given if the information can be found reliably.
  • By entering the disassembly year, the object in question will be listed under “Disassembled objects” but none of its data will be deleted.

Tip Each object within the area should be named uniquely. For example, if there is only one swing, its name can be “swing”. But, if there are two swings, their names could be “basic swing” and “nest swing”.

Defining features for each objeckt

In “Area” view click on an object from the list and the “Object” view will open.

1) Add an overview picture for the object in the same way as for the area.

2) The attributes attached to each object bring the content to the maintenance and inspection instructions and also references to the applicable standards in the area report.

Note All object functions do not have their own attribute.

Playground equipment, Sports equipment, Beach, Ancillary item, Safety areas

  • These classes include actual equipment features. Select the features that can be found in the object.
  • Use the ‘other features’ (e.g. ‘other playing’, ‘other sport’) only the object belongs to the class but none of the given features apply to it.

Properties

  • The “Properties” category contains materials and properties that do not fit to other classes.
  • Select the material property (e.g. ‘timber’, ‘metal’, ‘plastic’) when the material in question is in a frame structure that supports the user.
  • Select ‘accessible’ when the equipment is specifically intended to be accessible, e.g. for wheelchair use.

Area structure

  • These features are related to the most common risks in and around the area. By creating an object and assigning one of these properties to it, the risk in question will always be assessed during the annual inspection.
    • ‘Large tree’: A tree where climbing is expected and a risk.
    • ‘Water body’: Permanent or temporary body of water which posesses a risk of drowning.
    • ‘Traffic’: A road where getting hit by a car is a risk.
    • ‘Building’: Typically an apartment building with a roof that may attract climbing.
    • ‘Steep slope’: A slope which, due to its steepness or length, is a risk.
    • ‘Cliff’: A vertical drop where the user is at the top and from which there is a risk of falling.
    • ‘Boulder’: Like a cliff, except the user is at the bottom unless intentionally climbing up.
    • ‘Hostile plant’: Any plant intended to be removed; dangerous or not.

Making inspection

The inspection is started by clicking the “Inspect” button and selecting the type of inspection from the menu that opens.

Note The type of inspection has a significant effect on the inspection instructions

General notes are inspector’s overview from the area at the time of inspection. They can relate to the area’s condition, usage rate, age, etc. For example: “There are a lot of children and moped riders in the area.”

Note General notes are notintended as actual repair need remarks. General notes are shown, for example, the inspection history page in the rarea report.

The instructions open by selecting “Area instructions” and each object one by one.

The inspection is carried out by following the instructions. When one instruction is finished, it is checked as done.

If necessary, open the additional information link or search for additional information; e.g. “S2P 5.2.2” refers to the Safe to Play book or Safe to Play Encyclopedia chapter “5.2.2. Different types of areas”.

In the inspection view, each object’s background color indicates its inspection status:

  • Green: All instructions have been checked as done.
  • Yellow: Some of the object’s instructions have been checked as done.
  • White: No instructions for the object have been checked as done.
  • Grey: There is no attributes attached to the object, therefore there is no instructions.

Tip The inspection can be done in any order. The application remembers the progress even if the inspection view is exited or the application is closed.

It is easiest to record the repair needs as they are discovered. The icon at the bottom right of the “Repair needs” tab opens the “Repair need information” window.

Note Although deficiencies are usually recorded during an inspection, they can be recorded at any time.

  • The are report shows all active repair needs, regardless of when they were made. Inactive are those with the statuse “Repaired”.

The repair need description can be freely typed in or a seed text can be inserted by searching with a keyword or browsing the menu.

  • The seed text can also be added as an extension of the previous description.
  • You can freely edit the seed text after inserting it.

Repair suggestion can be recorded now or later (not seen in this picture as it is hibben at the bottom of the view).

After finishing the repair need description, it can be supplemented with repair suggestion, risk assessment and pictures.

You can delete the deficiency entry from the icon in the upper right corner.

Note The app includes two risk assessment methods: Basic risk assessment and safety area risk assessment. Both are explained in the Safe to Play Encyclopedia (book or app) and taught in the Safe to Play inspector training.

When all the instructions have been completed, the text at the bottom of the view will show, for example, “5/5” and the “Done” button will change from gray to green.

  • Finish the check by selecting “Done”.
  • If you select “Cancel”, the audit will be canceled and will not be recorded in the audit log. The cancellation does not remove the deficiency entries made during the inspection.

Note You can complete the inspection even if all the instructions have not been checked. A finished inspection cannot be restarted, but repair needs can be recorded even without an ongoing inspection.

Generating reports

Area report

The area report is a multi-page document that contains area’s all information.

In the area view, select “Area report”.

In the window that opens, select the parts to be included in the area report and click “Generate”. The area report report opens in a web browser, where you can save or share it as you wish.

Note The language selection here includes report’s titles and basic texts. It is therefore possible to name the equipment and write the repair needs in e.g. Estonian language and select “Estonian” as the language of the report. Then the entire report will be in Estonian. Since translating the report is significantly less work than the entire Inspector application, there are more language options for the report than for the application.

Tip Even though a multi-page report is impressive, it may make sense to leave some pages out.

  • If risk assessments haven’t been made, the check box “Risk assessment method explained” should be unchecked.
  • If all repair needs are new and in the status “Created”, the check box “Repair need statuses” should be unchecked.
  • If post installation inspections haven’t been performed, the check box “Post-installation inspection results” should be unchecked.
  • If Safe to Play Management is not in use, a maintenance plan cannot be created for the area. In tahat case the check box “Inspection plans” should be unchecked.

Inspection report

The inspection report is a one-page document detailing of who did what, when and where.

“Inspection history” is opened from the menu in the upper right corner of the start view.

The inspection history shows all inspections performed by a user logged into the Inspector application in chronological order.

In the window that opens, select the language and click “Generate”. The inspection report opens in a web browser, where you can save or share it as you wish.
